Elevation Solutions’ K12 Practice Lead, Caitlin Pfeiffer, joined Harmony Public Schools’ Director of Enrollment Management, Jonisha Smith, and the Director of Operations, Agil Sharifov, at the 2025 Education Summit to showcase how the Texas public charter network spanning 7 districts and 70 schools is driving equitable K12 enrollment through process optimization.

Fragmented Systems & Missed Opportunities

Before implementing Salesforce, Harmony Public Schools faced several challenges, including difficulties with lead follow-up and cumbersome application and enrollment procedures. Given Harmony can receive upwards of 100,000 applications and enrolls between 15 and 18,000 students each year, pulling information from multiple sources to follow up with leads and track application progress was a huge lift for the recruitment specialist at each of the 70+ campuses.

Additionally, the recruitment team hosts several events each year for prospective families to get more information about applying and enrolling at Harmony Public Schools. However, events such as open houses, school tours, and registration nights were tracked and managed inconsistently across campuses, using a mix of Facebook Events, Google Sheets, Eventbrite, and Google Forms.

Lastly, communication between campuses was inconsistent. Some families received frequent updates and event invitations, while others heard nothing between submitting their application and the lottery date.

Harmony’s Path to Process Optimization

During the presentation, the team talked through how Harmony Public Schools was able to use Salesforce to overcome these roadblocks:

  • Lead Management and Task Automation
  • Event Management utilizing Campaigns and Event Forms
  • Application, Verification, Lottery, and Enrollment
  • Recruitment & Enrollment Journey through Marketing Cloud

Smarter Lead Management with Task Automation

Harmony partnered with Elevation Solutions to streamline its lead management process using Education Cloud, Marketing Cloud, and Mogli. Every new lead follows a structured task flow, beginning with an automated text message sent via Mogli. Prospects can respond to this message, after which Harmony checks to confirm if the lead submitted an application. If not, a Recruitment Specialist follows up with a phone call. Depending on the outcome, the lead either receives another automated text if the call goes unanswered or exits the flow if they have spoken with a specialist. This process ensures each lead receives a personalized and convenient response while properly filtering out those who are uninterested or have already applied.

Streamlined Event Management utilizing Campaigns and Event Forms

By leveraging Campaigns and FormAssembly, Recruitment Specialists can efficiently plan and manage events in one place. Features like customizable registration forms, confirmation emails, and QR codes for attendance tracking streamline the process. Harmony can also monitor these events, enabling the team to recognize Recruitment Specialists’ efforts and track leads from sign-up through event attendance and registration. In the future, this data will help identify which events generate the most leads and applications, allowing for more strategic decision-making.

Simplified Application to Enrollment with Experience Cloud

Launching this Spring, families will also be able complete their student’s application through a family portal built on Experience Cloud.  The application will allow them to view and select which Harmony campuses they are interested in applying for on a map centered on their home address.  Once their application is submitted, a recruitment specialist will be able to review the eligibility of their application ensuring that the birthdate entered matches the selected grade requirements, as well as confirming details that may give the student priority within the enrollment lottery (such as child of a staff / board member, or sibling of a student currently attending Harmony).

Personalized Family Engagement with Marketing Cloud

With Marketing Cloud, Harmony is able to send personalized and targeted content to families that guides them from application through enrollment. Families receive biweekly emails sharing more about applicable Harmony schools.  For example, the email on the left notifying parents that their application is eligible for the lottery or the email on the right sharing information on our college and career programs. This keeps Harmony top of mind for the families while informing them of programs and news.

We were thrilled to demo the solution we built in partnership with Harmony. Our Education Summit presentation highlighted how Salesforce technology is helping create more equitable K-12 enrollment processes through streamlined procedures and automation.
