School choice has made enrollment a year-round job. With declining school populations and enrollment numbers often directly determining funding, districts and charter schools are frequently competing for families and face increasing pressure to attract, enroll, and retain students. This makes an efficient, well-functioning enrollment system a strategic necessity. Schools often manage multiple application windows, weighted lottery priorities, waitlists, and family communications while needing complete visibility into each student’s journey—from initial inquiry through registration and enrollment.
Many districts and charter networks require advanced enrollment solutions that streamline these complex workflows, lead capture, online applications, lottery management, waitlists, and real-time tracking to improve both operational efficiency and the family experience.
A tool commonly used for K12 school enrollment is SchoolMint, which manages school applications and registration forms, then hands data back to a school’s SIS and stops. Other processes such as student services, advising, partner relationships, helpdesk, HR and family communications all live somewhere else. SchoolMint is a purpose-built point solution designed to support K12 enrollment. While it addresses common enrollment needs, organizations with unique processes or evolving requirements encounter limitations when attempting to implement highly customized workflows or extending the platform to support additional business processes beyond enrollment.
Why Districts Move Enrollment Into One Salesforce Platform
Salesforce Education Cloud, paired with Experience Cloud for family facing portals and Marketing Cloud for family outreach, covers the same enrollment lifecycle SchoolMint handles. However, Salesforce can offer more flexibility in defining business process and logic. Salesforce can also offer having these processes take place inside the same system a district can use for student support, HR, family communications, donor management, and much more. An enrollment lead who becomes an applicant, then a student, then an alumni, and then eventually a parent volunteer or donor, stays one record instead of scattering across four disconnected tools.
Elevation Solutions has built this workflow for charter networks ranging from five schools to more than seventy, including networks that receive up to 100,000 applications a year against far fewer available seats. The platform scales from a single campus lottery to a multi-district network with competing program requirements without asking a district to change tools as it grows.
Recruitment and Lead Management
A new lead can enter a structured, automated task flow the moment it reaches Salesforce. An automated text message can go out as soon as a lead comes in. If the prospect doesn’t submit an application, a recruitment specialist gets a task to follow up by phone. Depending on the outcome, the lead either receives another automated nudge or exits the flow once a specialist has made contact.
Events, Campaigns, and Application Management
Recruitment teams can plan and track open houses, school tours, and registration nights through Salesforce Campaigns integrated with FormAssembly, replacing the mix of event tools most districts rely on by default. Registration forms, confirmation emails, and QR code attendance tracking all live in the same place, so a specialist can see which events actually convert into applications rather than just who showed up.
Application, Verification, and Lottery
Salesforce supports families with a portal, built on Salesforce Experience Cloud, to complete a student’s application and view and select which campuses they want to apply to on a map centered on their home address. Once an application is submitted, a recruitment specialist can review student eligibility directly in Salesforce, confirming that the birthdate entered matches the requirements for the selected grade and checking for any details that should give the student priority in the enrollment lottery, such as being the child of a staff or board member or the sibling of a student currently enrolled at the school.
This is a configurable, auditable eligibility and priority engine built on the same platform running the rest of a district’s operations, rather than a separate lottery module with its own rules engine to maintain. Priority rules can be adjusted as policy changes, every review is logged against the applicant record, and the same data flows straight into the lottery run without needing to be re-entered or reconciled from a separate system.
Enrollment Communications
Salesforce can track a family from ad click to application all inside the same interface. Salesforce’s Marketing Cloud can carry families from inquiry through enrollment with targeted emails tailored to where a family sits in the process, whether that’s a lottery eligibility notice or information about a specific academic program. Salesforce Marketing Cloud and Data Cloud are also tools built for full scale, cross channel marketing rather than a single enrollment pipeline. It can segment prospective families by zip code, grade level, program interest, or source campaign; running multi-touch journeys across email, text, and paid channels; and measuring which recruitment activities actually produce enrolled students, using the same marketing infrastructure a district’s communications team may already run for bond campaigns, donor outreach, or general community engagement.
Workflow flexibility a point solution can’t match
Salesforce’s workflow tools, Flow Builder, approval processes, and other customization tools, let a district or charter network define eligibility rules, priority tiers, approval chains, and notification logic exactly as its policies require. Then as policies change, this logic can be adapted through straightforward configuration changes, without waiting on a vendor’s product roadmap. A network with seven different lottery configurations across seven districts, or one that wants sibling priority to work differently at a magnet campus than at a neighborhood school, can build that directly into the platform rather than working around a fixed set of settings. That same flexibility extends past enrollment into whatever a district builds next, since the workflow engine isn’t limited to admissions.
What a SchoolMint Migration Looks Like
A migration off SchoolMint generally runs through a few distinct phases.
Discovery and mapping: Before any data moves, the current SchoolMint configuration gets documented in full: lottery rules, priority tiers, application fields, waitlist logic, and every integration point back to the SIS. This step also captures what’s working well in the current process so it isn’t lost in the rebuild, and what’s been a workaround that shouldn’t be carried forward.
Rebuilding the workflow: The application portal, eligibility rules, lottery logic, and family communications get built in Experience Cloud, Education Cloud, and Marketing Cloud, configured to match the network or district’s exact business process. Instead of the staff adapting their process to fit the requirements of a point solution, Elevation Solutions helps define what the actual process is first, then configures Salesforce to support it. Integrations with the SIS and any other external systems get rebuilt at this stage as well.
Data migration: School data, historical application records, lottery configuration and results, and family contact data need to move into Salesforce in a usable form, not just a data dump. This typically means mapping SchoolMint fields to Salesforce objects, deduplicating family and student records, and validating that the required historic data transfers accurately enough to defend in an audit.
System Testing: Thorough testing is critical to a successful enrollment system implementation. Family enrollment portals, custom workflows and integration all need to be validated. The safest way to verify a new lottery and application process is to run it alongside an actual enrollment window before fully retiring SchoolMint, particularly for a district or network with a hard lottery date and legal obligations around fairness and audit trails. This catches edge cases in priority logic or SIS syncing before they affect a live cohort of families.
Training and cutover: Recruitment specialists, admissions advisors, and campus staff need hands-on training in the new system before going live, since the daily workflow of reviewing applications, verifying eligibility, and running the lottery changes even when the underlying rules stay the same. Most districts have a full cutover to land between enrollment cycles rather than mid-cycle, so no family’s application is caught between two systems.
Timelines vary with the complexity of a district’s lottery rules and how many campuses or districts are involved, but a single network migration typically runs a few months from discovery through a validated first live cycle. Networks with multiple districts, campus specific priority rules, or heavier SIS customization should plan for a longer runway.
