Data Migration
Nonprofits retiring their existing donor management system, districts replacing years of spreadsheets and disconnected student records, and colleges consolidating multiple Salesforce orgs across admissions and advancement all face the same risk: losing the donor, student, or constituent history your team spent years building. We migrate data for K-12, higher education, and nonprofit organizations without losing what matters.
A migration is not just moving records from one system to another. Field mappings break, duplicate contacts multiply, and years of history get flattened into generic objects that don’t reflect the way your organization runs day to day. Whatever you’re migrating from, whether that’s another Salesforce org, a legacy CRM, a patchwork of spreadsheets, or a system that needs to keep talking to Salesforce afterward, we map your data model before we move anything, so the fields, relationships, and history that matter survive the transition intact.
We stage every migration around your calendar, not ours. A cutover during enrollment season or a year-end giving push is how organizations lose confidence in their CRM before the new system even goes live.
Org-to-Org Migration
Moving from one Salesforce org to another: a sandbox to production, two districts or campuses merging into a single instance, or a managed-package org converting to native Salesforce. We map every custom object, field, and automation so nothing gets silently dropped in the move.
- Multi-org consolidation (multiple campuses, chapters, or districts into one)
- Managed-package-to-native conversions
- Sandbox-to-production and org refresh migrations
Legacy System Migration
Moving off a system that was never built to talk to Salesforce, connecting an existing system to Salesforce via integration, or off an aging Salesforce data model onto a current one: Raiser’s Edge, DonorPerfect, SchoolMint, PowerSchool, a homegrown database, a legacy student information system, or the older NPSP and EDA architectures Salesforce is retiring in favor of Nonprofit Cloud and Education Cloud. We audit what’s there, map it to your new data model, and bring over the history that still matters, not just the fields that migrate easily.
- Donor and constituent history from legacy fundraising CRMs
- Student records from legacy K-12 SIS
- Student and constituent records from legacy higher ed systems
- NPSP to Nonprofit Cloud migration and EDA to Education Cloud migration
Integration-Driven Migration
Some migrations exist to set up an ongoing connection, not just a one-time move. When your SIS, LMS, or donation platform needs to sync with Salesforce, we handle the initial historical data load so day one of that integration starts clean. The ongoing sync after that point is covered by Integration.
- Initial data load for SIS-to-Salesforce integrations
- Historical sync setup for LMS or donation-platform connections
- Hand-off to integration for the ongoing single or bi-directional sync
Spreadsheet & Manual Source Migration
Moving off spreadsheets, shared drives, and manual tracking. This is often the least technically complex migration and the easiest to get wrong: nobody documented why a column means what it means. We rebuild that logic into a proper data model instead of just importing rows.
- Data audit of what a spreadsheet or database process is tracking, and why
- Deduplication of records built up over years of manual entry
- Migration into a structured Salesforce data model built around your team’s real workflow
Our Data Migration Process
Every migration follows the same three-part discipline, whatever you’re moving from.
Define Clear Objectives — identify the business goals driving the migration and exactly what needs to move. Decide what gets retained in the new system versus archived for historical reference. Gather record counts for everything being migrated.
Execute Migration Strategy — run a detailed data evaluation and field-level mapping. Clean, deduplicate, and transform the data before it moves. Produce data quality audit reports your team can review before go-live.
Long-Term Data Integrity — facilitate formal sign-off on the data load. Maintain transformation standards for consistency going forward. Implement duplicate-management rules and policy, with a routine review of data integrity built in.
